Setting Up a Program (Creating a Program)

Updated onJanuary 13, 2025

A Program in Aidlab Teams is a structured pathway that defines the monitoring, training, treatment, or research protocol for individuals or study participants. Programs serve as the framework for organizing biosignal monitoring, exercises, questionnaires, and other interventions into a coherent plan for health, fitness, research, or care management.

Types of Programs

Therapy Programs

  • Purpose: Ongoing treatment and monitoring for chronic conditions
  • Duration: Typically long-term (weeks to months)
  • Examples: Cardiac rehabilitation, diabetes management, hypertension monitoring
  • Components: Regular vital sign monitoring, medication tracking, lifestyle interventions

Rehabilitation Programs

  • Purpose: Recovery and functional improvement after illness or injury
  • Duration: Usually medium-term (4-12 weeks)
  • Examples: Post-surgery recovery, stroke rehabilitation, physical therapy protocols
  • Components: Progressive exercises, mobility assessments, functional outcome measures

Research Programs

  • Purpose: Data collection for clinical studies or research projects
  • Duration: Varies based on study design (days to years)
  • Examples: Sleep studies, drug efficacy trials, biomarker validation studies
  • Components: Standardized protocols, data collection schedules, outcome measurements

How to Create a Program

Step 1: Access Program Creation

  1. Navigate to your team dashboard
  2. Click on "Programs" or "Create Program"
  3. Select "New Program" from the menu

Step 2: Define Program Basics

Program Information

  • Program Title: Choose a clear, descriptive name (e.g., "Post-MI Cardiac Rehabilitation", "Sleep Apnea Monitoring Study")
  • Program Type: Select from Therapy, Rehabilitation, or Research
  • Description: Provide a detailed explanation of the program's purpose and goals
  • Language: Set the primary language for program materials
  • Duration: Define the total program length (days, weeks, or months)

Target Population

  • Inclusion Criteria: Define who is eligible for the program (patients, family members, athletes, etc.)
  • Exclusion Criteria: Specify conditions that would exclude participants
  • Age Range: Set minimum and maximum age limits if applicable
  • Health/Fitness Conditions: Identify target diagnoses, fitness levels, or health status

Step 3: Configure Monitoring Parameters

Biosignals Selection

Choose which physiological parameters to monitor:

Cardiovascular Monitoring

  • ECG (Electrocardiogram): Heart rhythm and electrical activity
  • Heart Rate: Continuous or periodic heart rate monitoring
  • Heart Rate Variability (HRV): Autonomic nervous system assessment
  • Blood Pressure: For integrated devices or manual entry

Respiratory Monitoring

  • Respiration Rate: Breathing frequency and patterns
  • Respiratory Effort: Chest movement and breathing quality
  • Sleep Apnea Detection: Breathing interruptions during sleep

Activity Monitoring

  • Step Count: Daily activity levels
  • Physical Activity: Exercise intensity and duration
  • Sleep Monitoring: Sleep duration, quality, and patterns
  • Body Position: Posture and position tracking

Environmental & Other

  • Skin Temperature: Body temperature monitoring
  • Ambient Conditions: Environmental factors if relevant
  • Custom Parameters: Program-specific measurements

Monitoring Schedule

  • Frequency: Define how often data should be collected (continuous, daily, weekly)
  • Time Windows: Specify preferred monitoring times (e.g., morning readings, exercise periods)
  • Duration per Session: Set length of each monitoring session
  • Rest Periods: Include breaks or off-days as needed

Step 4: Organize Program Components

Exercise Components

If your program includes physical activities:

Exercise Library

  • Cardiovascular Exercises: Walking, cycling, swimming protocols
  • Strength Training: Resistance exercises with specific parameters
  • Flexibility Work: Stretching routines and mobility exercises
  • Functional Activities: Activities of daily living practice

Exercise Parameters

  • Intensity: Define target heart rate zones or perceived exertion levels
  • Duration: Set exercise session lengths
  • Progression: Plan how difficulty increases over time
  • Modifications: Include adaptations for different fitness levels

Questionnaire Components

Integrate assessments and patient-reported outcomes:

Health Questionnaires

  • Quality of Life: SF-36, EQ-5D, or similar instruments
  • Symptom Assessment: Disease-specific symptom scales
  • Functional Status: Activities of daily living assessments
  • Mental Health: Depression, anxiety, or stress assessments

Program Feedback

  • Daily Logs: Simple check-ins and symptom tracking
  • Weekly Reviews: More comprehensive progress assessments
  • Milestone Evaluations: Major checkpoints throughout the program

Educational Components

Include patient education materials:

Video Instructions

  • Exercise Demonstrations: Proper form and technique videos
  • Device Usage: How to use monitoring equipment correctly
  • Educational Content: Disease information and self-management tips

Written Materials

  • Program Guidelines: Clear instructions for participants
  • Progress Tracking: Templates for logging activities and symptoms
  • Emergency Protocols: When and how to seek immediate care

Step 5: Set Up Program Flow

Program Steps Structure

Organize your program into logical phases:

Phase 1: Baseline/Assessment (Week 1-2)

  • Initial monitoring setup
  • Baseline measurements
  • Participant education
  • Goal setting

Phase 2: Active Intervention (Week 3-8)

  • Regular monitoring
  • Progressive exercises
  • Weekly assessments
  • Adjustments based on progress

Phase 3: Maintenance/Follow-up (Week 9-12)

  • Sustained monitoring
  • Self-management focus
  • Outcome evaluation
  • Transition planning

Step Configuration

For each program step:

  • Step Title: Clear description of the phase
  • Duration: How long this step lasts
  • Activities: Specific tasks and monitoring requirements
  • Goals: What should be achieved in this step
  • Completion Criteria: How to determine when to move to the next step

Step 6: Configure Notifications and Alerts

Participant Notifications

  • Reminder Settings: When to remind participants about activities
  • Progress Updates: Celebrate milestones and achievements
  • Motivation Messages: Encouragement based on adherence
  • Educational Tips: Relevant health or fitness information delivery

Team Alerts

  • Safety Alerts: Critical values or concerning trends
  • Adherence Monitoring: When participants miss scheduled activities
  • Progress Milestones: Significant improvements or setbacks
  • Program Completion: When participants finish program phases

Next Steps

After creating your program:

  • Test the program with a small pilot group
  • Train your team members on program delivery
  • Set up patient recruitment and enrollment processes
  • Plan for data analysis and outcome reporting
  • Invite team members to help manage the program

Troubleshooting

Common Setup Issues

  • Technical Problems: Ensure all devices and connections are tested
  • Compliance Concerns: Verify program meets relevant regulatory requirements
  • Resource Planning: Confirm adequate staffing for program management
  • Data Management: Plan for secure data storage and analysis workflows
